How do I write a memo?

Fill in the heading: who it is to and from, with job titles, the date, and a clear subject. Then open with the main point in a sentence or two, give the details one idea per paragraph, and end with what you need the reader to do and by when. List anything attached at the end.

  1. Type To and From with names and job titles.
  2. Write a clear Subject.
  3. Open the message with the main point.
  4. Add details and the action you need.
  5. Download the PDF or Word file.

What is the format of a memo?

A memo starts with the word Memorandum, then a heading block with To, From, Date and Subject, each on its own line, as the Purdue OWL lays out. A line separates the heading from the message. Memos skip the greeting and closing of a letter, and an Attached line at the end lists anything included with it.

What is the difference between a memo and a letter?

A memo usually goes to people inside your own organization, such as staff or a team, and gets straight to the point under a To, From, Date and Subject heading. A letter goes to someone outside, with a greeting, a closing and a signature. For a letter, use one of our letter templates instead.

For letters, see the resignation letter or the letter of recommendation.

Limits

  • No sending. Download the PDF or Word file and send it yourself.
  • Plain text formatting. No bold or bullet lists inside the message yet.
