What should meeting minutes include?

The meeting name, date, time and place; who chaired and who took the minutes; who attended and who was absent; each agenda item with what was decided; any motions with who moved and seconded them and the vote; action items with owners and due dates; and the next meeting. The form has a field for each, so nothing gets missed.

  1. Pick the kind of meeting.
  2. Type the details and attendance on the minutes.
  3. Add each agenda item with its decision or motion.
  4. List action items with owners and due dates.
  5. Download the PDF or Word file and share it.

Should minutes record what people said?

For formal meetings, no. Robert's Rules of Order says minutes are a record of what was done, not what was said, and that summarizing discussion is improper. So board and committee minutes here record motions, who made them, and the result. Team meetings are less formal, so team minutes keep a short notes line per item.

How do I record a motion in the minutes?

Write the motion as it was stated, who moved it, who seconded it, and whether it carried, failed or was tabled, with the vote count if one was taken. For example: Motion: To approve the 2027 budget. Moved by Ana, seconded by Sam. Carried, 7 for and 1 against. The form builds that sentence from the fields.

How do I turn minutes into the next meeting's agenda?

Press New minutes in the drafts list. The next set starts with the same meeting name, place, chair, recorder and attendees, and carries over the action items that are still listed, so you can review progress on each as the first item. Delete tasks that are done before the meeting.

Limits

  • No recording or transcription. You type the minutes.
  • One meeting per draft; keep each set in the drafts list.
