What should an invoice include?
GOV.UK lists a unique invoice number, your business name, address and contact details, the customer's name and address, a clear description of what you charge for, the supply date, the invoice date, the amounts charged, any VAT, and the total owed. The form has a field for each, and the supply date is optional.
Those are the UK rules for businesses that are not VAT registered; a VAT invoice needs more. In the US, the IRS names invoices among the records that support your income and costs, and says to keep records until the period of limitations for that return runs out, which is 3 years in the usual case. Check the rules where you trade.
How is sales tax worked out on an invoice?
This tool takes the discount off first, then charges tax on the taxed lines only, then adds shipping. If some lines are not taxed, the discount is shared between taxed and untaxed lines by their part of the subtotal, so the tax is never charged on money you took off.
Here is our worked example, calculated by the tool itself:
| 3 printed mugs at $19.99 (taxed) | $59.97 |
|---|---|
| 2 hours of design at $45.50 (not taxed) | $91.00 |
| Subtotal | $150.97 |
| Discount 10% | −$15.10 |
| Taxed amount after its share of the discount | $53.97 |
| Sales tax 8.25% | $4.45 |
| Shipping | $12.00 |
| Total | $152.32 |
| Paid upfront | −$50.00 |
| Balance due | $102.32 |
Each line is rounded to the cent before adding up, and the tax is rounded once at the end. If your prices already include tax, tick Prices include tax: a £120.00 item with 20% VAT then shows £20.00 of VAT inside a total that stays £120.00.
What does Net 30 mean on an invoice?
Net 30 means the full amount is due 30 days after the invoice date. Net 15 means 15 days, and Due on receipt means right away. Pick the terms on the invoice and the due date fills itself in: an invoice dated October 12, 2026 on Net 30 is due on November 11, 2026.
You can still change the due date by hand, for example to the end of the month. Late fees belong in Terms, worded the way your contract with the client says.
How should I number my invoices?
Give every invoice its own number and never reuse one. A prefix and a running count works well, such as INV-0042. Press New invoice and the tool counts up for you, keeping the prefix and the zeros: INV-0042 becomes INV-0043, and INV-0999 becomes INV-1000. Year-based numbers such as 2026-17 work too.
Where are my invoices saved?
In this browser only. The tool keeps your business details, logo, saved clients and the current draft in your browser's local storage, so they come back next time on the same device. Nothing is sent to a server. Clearing browser data removes them, so keep the PDFs you send, and use Save a copy to keep an editable file.
Want the invoice signed, or locked with a password before you email it? Use Sign PDF or Protect PDF on the downloaded file. To send several invoices as one file, put them together with Merge PDF.
Limits
- One tax rate per invoice. Lines can be taxed or not, but not at two different rates.
- No e-invoice formats such as UBL or Factur-X, which some governments require for business-to-business invoices. The download is a PDF.
- No sending or payment tracking. Download the PDF and attach it to your own email.
- Saved data lives in one browser. Use Save a copy (.json) under More options to move a draft to another device.
Frequently asked questions
Is it free?
Yes. No sign-up, no watermark and no limit on how many invoices you make.
Can I add my logo?
Yes. PNG, JPG, WebP or SVG. It is shrunk to at most 600 pixels so the PDF stays small.
Which currencies work?
42 currencies, with the right number of decimals for each: yen has none, Kuwaiti dinar has three.
Can I make an estimate or quote instead?
Yes, with the estimate template, which words the page as an offer with a valid-until date.
Does it work on a phone?
Yes. On a phone each item line stacks, so you can type on the invoice with your thumb.
