How do I make a receipt?

Type straight onto the receipt above: your business at the top, the customer under Received from, and a line for each thing they paid for with quantity and price. Pick how they paid: cash, card, bank transfer, check or another way. Press + Tax if you charged sales tax, then Download PDF to print or email it.

  1. Pick a design: a full page, a thermal roll, two copies on one sheet, or a centered serif receipt.
  2. Click the top of the receipt and type your business details.
  3. Type the customer under Received from.
  4. Type each item with its quantity and price; press + Add a line for more.
  5. Choose Paid by, and press + Tax if you charged it.
  6. Press Download PDF.

What should a receipt include?

The IRS says a receipt is ordinarily adequate evidence of an expense when it shows the amount, the date, the place and what the expense was for. This tool prints all four: your business name and address, the receipt date, each item and the total paid. It adds a receipt number, the customer and how they paid.

For a business meal, the IRS also asks for the number of people served; put that in an item line or in Notes. Keep a copy of every receipt you give, numbered in order, so your own records match.

What is the difference between a receipt and an invoice?

An invoice asks for payment and comes before it, with a due date. A receipt confirms a payment that already happened, so it shows how the customer paid and has no balance due. If a customer paid an invoice, put that invoice number in the For invoice box so both documents point to each other.

To ask for payment, use the Invoice Generator. To price a job before it starts, use the Estimate Template.

How do I add sales tax to a receipt?

Press + Tax and type the tax name and rate. The tool adds tax on the taxed lines to the total paid. In our example, 2 candles at $14 and gift wrap at $3.50 make $31.50, 6% sales tax adds $1.89, and the receipt shows $33.39 paid. Tick Prices already include tax if your prices have it built in.

Can I print a receipt on a thermal receipt printer?

Yes. Pick the Till design and choose the roll width, 80 mm or 58 mm. The PDF is as wide as the roll and exactly as tall as the receipt, with the print kept inside the 72 mm or 48 mm a receipt printer prints. Print it at 100% scale through the printer's own driver.

Can I make a receipt for a store or company I bought from?

No, and you should not. This tool is for receipts you give for payments you received, under your own business name. A receipt made to look like it came from another business, or for a payment that did not happen, is a false document, and using one for expenses or refunds is fraud. Ask the seller for a copy instead.

Lost a receipt from a store? Ask the store: some can reprint a receipt from their records if you bring the card you paid with. Your card or bank statement also shows the amount, date and seller.

Limits

  • Thermal printers print the Till PDF through their own driver; the tool does not send commands to a receipt printer or open a cash drawer.
  • No donation wording. Receipts for tax-deductible gifts need specific statements; this template does not add them.
  • No sending: download the PDF and email or print it yourself.
