How do I calculate hours worked?
For each day, take the time out minus the time in, then subtract unpaid breaks. An out time earlier than the in time means the shift ran past midnight. Add the days for the week. The calculator does this as you type and shows each day in decimal hours, such as 8.50, and in hours and minutes, such as 8:30.
- Pick the first day of the workweek and one or two weeks.
- Type each day's In and Out times; use the second pair for a split shift.
- Add the unpaid break in minutes.
- Choose the overtime rule and an hourly rate if you want pay.
- Download the PDF, CSV or Excel file.
When does overtime start under federal law?
After 40 hours in a workweek, at one and a half times the regular rate. The federal rule looks at each workweek on its own, so 50 hours one week and 30 the next still means 10 overtime hours, not none. The calculator splits a two-week sheet into two workweeks for that reason, starting on the day you choose.
Our sample week: Monday 8:00 to 6:30, Tuesday to Thursday 8:00 to 5:00, Friday 7:00 to 8:30 pm, each with a 30-minute unpaid break. That is 48.5 hours: 40 regular and 8.5 overtime, or $1160.50 at $22 an hour.
How does California overtime work?
California pays 1.5 times for hours over 8 in a workday up to 12, double over 12, and 1.5 times over 40 in the workweek. On the seventh consecutive workday of a workweek, the first 8 hours earn 1.5 times and later hours double.
| Sample week | Federal | California |
|---|---|---|
| Regular hours | 40 | 40 |
| Overtime hours (1.5x) | 8.5 | 7.5 |
| Double-time hours (2x) | 0 | 1 |
| Pay at $22 an hour | $1160.50 | $1171.50 |
Friday's 13 hours are 8 regular, 4 overtime and 1 double time in California. Hours already paid as daily overtime are not counted again toward the weekly 40. Seven days in a row of 8, 8, 8, 8, 8, 8 and 10 hours give 40 regular, 16 overtime and 2 double-time hours.
Can an employer round time punches?
Federal rules accept rounding start and stop times to the nearest 5 minutes, tenth of an hour or quarter hour, as long as it averages out and does not, over time, underpay workers for time they actually worked. The calculator rounds each punch to the nearest step you pick, up or down, so you see the effect.
