How do I fill out a timesheet?

Write the employee's name and the first day of the pay period, then for each day the time work started, the start and end of the unpaid lunch, and the time work ended. The hours for each day are the time before lunch plus the time after it. Add the days for the week, then both sign it.

  1. Type the employee, manager and week start.
  2. Choose one week or two.
  3. Type each day’s times, or leave them blank to fill in by hand.
  4. Check the totals.
  5. Download, print and sign.

What is the difference between this and the timesheet calculator?

This page is a time card to print and sign, blank or filled in, with hour totals and optional gross pay under the federal 40-hour rule. The timesheet calculator adds California daily overtime, rounds clock times and exports to Excel. Use this card on the wall or clipboard, and the calculator when it is time to pay.

Open the timesheet calculator for overtime and pay.

How do I write times on a timesheet?

Write the clock time, such as 8:00 or 5:30 pm, and keep AM and PM clear for afternoon hours. Here you can type 8, 12:30 or 5pm and the card reads them. A time out earlier than the time in, such as 10 pm to 6 am, counts as a shift that ran past midnight.

How long do you have to keep timesheets?

At least two years under the federal Fair Labor Standards Act. Department of Labor Fact Sheet #21 says records that wages are worked out from, such as time cards and work schedules, are kept for two years, and payroll records for three. The same sheet lets employers have workers write down their own times.

Keep the signed paper card, or the PDF, with the pay records for that period. States can ask for longer, so check your state labor department too.

How do I work out pay from a timesheet?

Multiply the hours by the hourly rate, then add overtime. Under federal law, hours over 40 in one workweek are paid at one and a half times the rate, and each week counts on its own. Type a rate on the card and it prints the overtime hours and gross pay before any taxes or deductions.

Example from the card's math: 42.5 hours in week one and 4 hours in week two at $20 an hour is 44 regular hours ($880) plus 2.5 overtime hours at $30 ($75), so $955 gross. California and some other states add daily overtime; the timesheet calculator handles those rules.

Limits

  • Federal overtime only. Pay uses time and a half over 40 hours a week; daily overtime (California) and rounding are in the timesheet calculator.
  • One person per card. Make a card for each employee.
